Where do I find workflows, and why are they inside agents instead of their own section?
Workflows are inside agents. Open Agents, open the agent, then open its Agent Workflows. There is no separate stand-alone workflow screen.
Everything in Votel starts with an agent, and an agent holds its workflows. Some workflow steps use the agent's settings such as its system prompt: an email step can write an AI generated email using the system prompt, and generate content steps and conversation nodes can include it too. Keeping workflows under one agent means it reuses the same business information, like your FAQs, in every workflow instead of copying it into many separate ones.
You do not need a separate agent for each workflow. Think of an agent as a role: what would you want a person hired for that role to do? One agent can have many workflows. For example, an AI receptionist can have one workflow controlling what it says on the phone, one doing missed call text back, one sending appointment reminders and one emailing you a call summary after each call. You end up with far fewer agents.
A workflow does not have to use AI. Workflows have triggers and steps, whether you build them yourself in the drag and drop builder or ask the AI to build them, and they can be ordinary workflows. Many steps can use AI when you want, for example personalizing email at scale, and you choose whether a step uses the agent's system prompt. The builder controls voice and non-voice conversations and also builds traditional sequences such as SMS or email follow-up, outbound calling campaigns, appointment reminders and email marketing drips. You can test a conversation flow by talking to it and watching which route it takes.
If you are coming from GoHighLevel: when you import, each GoHighLevel workflow comes in as its own agent, a one to one map, so you can think of each imported agent as a workflow. The funnel builder also has automations built in: you map the page flow step by step and add automations that run when someone fills a form or accepts an upsell, such as sending an email.
